Job Responsibilities

  1. Create a well-organized and tidy office space by arranging furniture, equipment, and supplies. Support colleagues by providing assistance with tasks, such as photocopying, filing, and document preparation.
  2. Receive and process incoming mail, emails, and other forms of communication. Efficiently prioritize tasks and promptly distribute them to the appropriate recipients. Maintain an organized system for tracking and archiving communications.
  3. Coordinate schedules and calendars to arrange meetings, conferences, and appointments. Prepare meeting agendas and necessary materials, book meeting rooms, and ensure all participants are informed of the schedule.
  4. Regularly assess office supply inventory and anticipate any shortages. Ensure a constant inventory of essential items, including stationery, printer cartridges, and office supplies, to keep the office running smoothly. Coordinate with vendors for timely replenishment.
  5. Identify and address any issues or malfunctions related to office equipment, such as printers, copiers, and telephones. Liaise with IT support or external service providers to resolve technical problems promptly.
  6. Act as a point of contact for internal and external stakeholders, addressing their inquiries, requests, or concerns promptly and professionally. Provide information, redirect calls, or escalate issues to the appropriate personnel when necessary.
